WTM London 2026: planning off-site meals for your exhibition team

WTM London takes place on 3–5 November 2026 at ExCeL London, as confirmed by the official WTM London website, checked on 13 September 2026. For an exhibition team, the useful decision is not simply where to eat: it is which meals everyone should attend, which should stay flexible, and how each fits around stand responsibilities and onward travel.

Start with one shared meal rather than committing everyone to three identical evenings. Then build the remaining off-site meals around actual attendance. This guide is for exhibitors coordinating their own team, not individual visitors choosing dinner or organisers arranging hospitality across the event.

Choose the purpose before choosing the restaurant

Ask your stand lead to label each proposed meal: team catch-up, client conversation or optional dinner. A meal intended for internal discussion needs a different guest list from one involving clients. Decide whether attendance is expected, and let colleagues know before they make other evening arrangements.

Keep crew responsibilities separate. If colleagues have stand-closing or packing duties, establish when they expect to be free rather than assigning them the same departure as sales staff. Do not make their food depend on everyone else waiting indefinitely.

Meal format Consider it when Resolve before committing
One whole-team restaurant meal You want a shared catch-up away from the stand A realistic arrival window and who must attend
Separate smaller restaurant groups Meetings or duties finish at different times Each group’s lead, headcount and payment arrangements
Catered meal at an agreed off-site space You have a suitable place for the team to gather The host’s permission and the supplier’s proposed arrangements
Optional independent dinner Colleagues have different evening plans Whether expenses are covered and whether any catch-up is still required

Give each show day its own meal plan

The following is a hypothetical three-day pattern, not a WTM programme or a confirmed Zzetta arrangement. Adapt it to your team’s appointments and duties.

  • 3 November: a shared team dinner. Use this for a short first-day catch-up, provided everyone can leave their responsibilities at an agreed time. Keep client invitations separate unless they are part of the meal’s purpose.
  • 4 November: smaller groups or an optional meal. Let colleagues with separate appointments choose a suitable group. Set a deadline for joining so the person making enquiries has a meaningful headcount.
  • 5 November: a departure-led plan. Ask who is leaving London, who is staying, and who has packing duties. Arrange a meal for those genuinely available instead of assuming the full team will attend.

For each date, record confirmed diners separately from possible additions. A ten-person team does not automatically mean ten diners every evening. Ask the restaurant or caterer when numbers must be finalised and what happens if they change.

Compare the whole evening’s route

For a team based around the Royal Docks, compare three points: where colleagues finish work, where they eat, and where they go afterwards. A restaurant choice should work for that whole sequence, not just look convenient on a map beside ExCeL.

If your plans involve the Elizabeth line, use TfL’s journey planner to check the complete journey for the intended date and time. It provides options for fewer changes, less walking and accessibility requirements. Check the return leg separately and revisit travel information nearer departure.

For a Zzetta enquiry, use the actual restaurant address, 110 Barking Road, Canning Town, London E16 1EN, rather than a broad area name. Add your own margin between leaving the stand and arriving for food; do not treat a route estimate as a guaranteed group arrival time. Agree who will contact the restaurant if the team’s departure changes.

Settle food requirements before the group chooses

Zzetta is an independent stone-oven pizzeria, established in 2018. Halal, Vegan and Gluten-Free options are offered from one flame-fired kitchen. Discuss specific ingredients, preparation and individual suitability with staff; these options do not mean every dish is halal or that food is allergen-safe or free from cross-contamination.

Use the Zzetta menu as a starting point for questions, not confirmation of what can be supplied for your November meal. Ask colleagues to explain their requirements rather than relying on a broad dietary label. Let anyone who prefers to discuss details privately speak directly with staff before committing.

Send one enquiry covering the visit

For a team catering enquiry, start with the Catering Hub. Specify whether you are considering a restaurant meal or catering at a separately agreed off-site address. Keep each date’s numbers and timing distinct.

Suggested enquiry: “We are exhibiting at WTM London and planning off-site team meals on [dates]. Our confirmed and possible numbers are [numbers by date]. We are considering [restaurant dining/off-site catering], with an intended meal window of [window]. Our dietary requirements are [details], and our main timing constraints are [duties or departures]. Please confirm what you can accommodate, the proposed arrangements, payment terms and deadlines for changing numbers. We are not requesting service on the show floor.”

Get a Quote via WhatsApp before treating any arrangement as confirmed. Once agreed, send the team a short daily note with the address, arrival window, meal lead and payment plan.
