Settle that before requesting a quote: the same attendance figure can describe two very different food requirements.
For an office in Canning Town, the Royal Docks or Canary Wharf, start with the promise you want to make to colleagues, rather than a number of pizzas. These two hypothetical briefs show how to turn that promise into a clear enquiry.
For seasonal context, the official England and Wales bank-holiday calendar lists Christmas Day as Friday, 25 December 2026. That is not a suggested party date or confirmation of Christmas Day service. Always give your actual office-party date.
Brief one: pizza is the main meal
Hypothetical situation: an office holds its Christmas celebration after work. There will be a few snacks and something sweet, but pizza is the only substantial food. Colleagues are being invited to stay for dinner.
Describe this as pizza providing the main meal. Do not call it a top-up just because other items will be on the table. The useful distinction is whether those other items are intended to replace dinner, not whether they exist.
Ask yourself: if the pizza were removed, would we still be providing the meal we promised? In this example, the answer is no. Your quote request should therefore say that guests will depend on pizza for dinner, with no separate main meal planned.
Before confirming the invitation, establish whether anyone needs a different meal arrangement. A colleague whose individual requirements have not been confirmed should not be counted as having dinner covered simply because pizza has been ordered.
Suggested invitation wording, once arrangements are confirmed: “Pizza will be provided as our main evening meal. Please tell the organiser about individual dietary requirements so these can be discussed directly with the restaurant before food arrangements are confirmed.”
Brief two: pizza accompanies an independently arranged meal
Hypothetical situation: an office has independently arranged a substantial buffet and wants pizza as an additional choice. The buffet is intended to provide the main meal; guests may also choose pizza.
Here, describe pizza as additional food alongside the buffet. Explain what the buffet is intended to provide and which guests expect to eat it. “Other food available” is less useful than “a separate main-meal buffet is arranged for the group”.
However, test that description against individual plans. If some colleagues will not eat the buffet and are relying on pizza instead, pizza has two roles: an extra for some and the main meal for others. Say so explicitly rather than treating everyone as a light eater.
Suggested invitation wording, once arrangements are confirmed: “A buffet will provide the main meal, with pizza as an additional choice. Please let the organiser know if you expect to rely on pizza instead, and share any individual dietary requirements for direct confirmation.”
Find out who will actually eat the other food
Ask a short, practical question rather than making assumptions from the guest list: “Do you expect to eat the separately arranged meal, pizza as your main meal, or both?” Keep dietary requests as a separate question; choosing pizza does not establish that a particular dish is suitable.
Use the answers to distinguish:
- Main-meal pizza eaters: people relying on pizza rather than another substantial meal.
- Additional pizza eaters: people expecting to eat the other meal and have pizza as an extra.
- Unconfirmed eaters: people whose plans or individual requirements still need discussion.
These are descriptions for the enquiry, not a portion formula. Avoid turning “buffet provided” into an automatic reduction in pizza provision. Equally, do not describe pizza as everyone’s dinner when a separate meal is the main provision. Ask for a proposal based on the actual role and likely eaters.
